Adecco Business Systems

Shared Services deliver all IT; finance; payroll; IR/ER; OH&S; and Quality and Compliance functions. Adecco Australia internal e-business system is PeopleSoft, the global

Adecco has a standard procedure for payroll and billing processing and the main back of office application to handle all payroll and billing. It provides one common system and subsequent efficiencies and cost savings in staff training, common business processes, system maintenance and system support.

PeopleSoft is a world recognised and fully supported system which is technically and architecturally advanced, providing opportunities for integrating Adecco’s front office and back office functions. Adecco has dedicated Information Technology Divisions. The charter of this group has been to develop and support the all the major e-business applications used by Adecco. This includes our Front-of-Office database “Atlas” and our PeopleSoft Payroll / Billing software. Through PeopleSoft, Adecco’s payroll department process in excess of 11,000 temporary timesheets every week.

Atlas

Our proprietary software, designed exclusively for client management and candidate matching, is at the forefront of the recruitment industry. Atlas is networked throughout our branches nationally and provides us with access to a large and varied database of qualified and evaluated Associates. Orders for employees are fed into our database and the stipulated criteria are used as a search function identifying suitably qualified Adecco contractors. This expedites the matching process by utilising ‘attribute’ searches, making for a fast, efficient matching service.
Using the Atlas, Adecco has the ability to establish profiles of site-specific candidate attributes to ensure that we source and place the candidates most suitable for our clients. For example, Adecco will set up “specific attributes”, whereby we identify the key skills of candidates your business requires – This enables Adecco to gain a better match!

WebTime

WebTime provides our clients with an ability to interact with Adecco via the Internet. WebTime allows clients to place orders, approve timesheets, and view provisional invoices. WebTime is also owned and developed by Adecco.

Ordering and Placement

Adecco receives orders by phone, fax, email and via WebTime. Once the order has been received the details are entered into Atlas and our standard methodology is then applied to finding the best candidate(s) to fill the order. Once the order has been filled the client is notified by phone, fax or email, or they can log in to WebTime to view the assignments.

Timesheets

All Adecco timesheets are completed and submitted for processing in electronic form completed online via WebTime. The client’s representative also uses WebTime to approve such timesheets – in bulk or individually. The timesheet data can be input for each Associate or through a group timesheet for a number of Associates working in the same area. Each Associate completes the hours worked and submits the timesheet. The client’s representative signs the timesheet approving the hours worked. These timesheets are then sent to an Adecco branch for processing.

The single timesheet approval allows for comments to be fed back from the client to both the Associate and to Adecco’s Account Manager. Using WebTime to track and approve timesheets can provide significant time and cost reductions when compared to more traditional paper based methods.

Invoices

Our business partners can view spend site by site, nationally, in dollars inclusive or exclusive of GST. Once the timesheets have been processed by the appropriate Adecco branch, including the application of the appropriate award interpretation, the data is fed into PeopleSoft for processing through the paying and billing cycles. Invoices are typically produced on a weekly basis (Wednesday) and sent to the client within a day or two of being produced. This means it may be up to a week before the client is aware of the cost of labour for the previous week.

Using WebTime, the client may view Provisional Invoice information within hours of the timesheet data being processed into PeopleSoft.

A sample scenario could be: Associate submits a Timesheet

Friday; client approves the Timesheet
Monday morning; Adecco processes the Timesheet
Monday afternoon; the Provisional Invoice Information is available on WebTime Monday night or first thing Tuesday morning.

Provisional Invoicing may be used to view your total spend for a week or a number of weeks, right down to the individual line level detail:

Provisional Invoicing allows the client to check the expected spend against actual spend, and provides an opportunity for any corrections to occur before the Actual (Paper) Invoice is produced. Provisional Invoicing also allows the client to use WebTime to workflow some invoice information, eg, one person may approve Provisional Invoices, another accrue the data into SAP and yet another process the Actual Invoices.
